Account & Registration Questions

What sort of account do I need in order to make an ESG submission?

ESG submissions can only be initiated by a mining corporate account. Register an account for your mining corporate here: https://digbee.com/register/step-one.

Once a corporate account has been created, you can invite others to join your ESG submission team using the 'invite' functionality provided.

Who can fill out a Digbee ESG submission?

Digbee ESG questionnaires can be completed by any registered Digbee members (registration is free). Invite the relevant personnel to your ESG Team within the submission. The final submission to Digbee must be approved by a Board appointed nominee to be eligible for scoring.

I can’t see 'Digbee ESG' in the left hand menu in my Digbee account area.

Your Digbee account may not be affiliated to a mining company, or you may not have been invited to participate in an ESG submission yet, in which case you won’t be able to access ESG submissions. If you want to be affiliated to a mining company (in order to create ESG submissions for that company) please ask the admin for your company account to invite you, or if your company does not yet have an account, register an organisation account for the mining company. By registering an account on behalf of your organisation, you'll become the admin for that organisation.

I want to register an organisation account for my mining company but when I enter the company name in the registration form, I am told that the company name is ‘already taken’.

If the company name is ‘already taken’ please contact us.

Can I contribute to a mining company’s ESG submission even though I’m not an employee of the mining company?

Yes. Contact the mining company to ensure they have registered their mining company’s account on Digbee and ask them to invite you to the relevant ESG submission. You will need to register on Digbee using the same email address they invited you with.

How do I invite colleagues to my mining company account?

If you're a company admin user, login to Digbee and navigate to your ‘manage team’ page to invite new team members to your Digbee mining company account.
If you would like your colleague(s) to have permission to edit everything (including all ESG submissions) for your mining company account on Digbee, select ‘Admin’ as their role when you are inviting them.

If you want to invite colleagues to your team but only want to grant them limited access, select ‘Editor’ as their role when you are inviting them. This means they will be able to edit your organisation’s profile on Digbee, but will not be able to manage your company’s team on Digbee. Editors are also not able to access all ESG submissions for your company’s account on Digbee unless expressly invited from the ESG submission itself.

What permissions should I grant ESG team members on my ESG submission?

All ESG team members who have the checkbox beside their name checked can view all info on a submission
‘View only’ Viewers cannot edit anything on the submission
‘Can edit’ editors can only edit the ESG questions section on the submission
‘ESG admin’ users can edit everything and can appoint an Approver.
ESG admins can delete the submission.
ESG admins can start a new submission for your organisation.
Approvers can edit the whole ESG submission and can submit the ESG submission for scoring at which point the submission becomes uneditable to everyone.

Why do some people automatically have access to my ESG submissions?

People who are part of your mining company account on Digbee and have the ‘Admin’ role assigned can access all ESG submissions for your company by default. To view a list of your company’s team members who are registered on Digbee visit www.digbee.com/my-team. If you do not want an individual to have access to your ESG submission, navigate to the ‘Your ESG Team’ step in the ESG submission and uncheck the box beside the person’s name and either click ‘Next’ or ‘Save & Exit’.

Submission Process Questions

What is involved in completing a Digbee ESG submission?

The submission process is relatively straight forward and comprises the following steps:
1. Set up a new ESG submission (typically you complete a submission once every 12 months)
2. Invite colleagues to your ESG team. These are the people who will help complete the submission
3. Specify the projects you are reporting on.
4. Answer a number of ESG questionnaires. There is a questionnaire for your company as a whole and a separate questionnaire for each project.
5. Each question provides guidance, a list of global standards which relate to that question and the ability to add a supporting narrative and upload evidence.
6. You review all answers provided, assign a Board-appointed Approver and request an invoice.
7. At this point of submission, you will be issued with an invoice.
8. Your Board-Appointed Approver must review the submission, approve and submit for scoring. At this point your submission becomes locked to edits.
9. Our team of ESG experts will score your submission based on standardised scoring guidelines.
10. You will be issued with a score and ESG report.

Is this an audit?

No, this is not an audit. It is a robust, independent assessment that results in scores and observations that will help guide areas of remediation, promote positive actions and allow effective communication to all stakeholders.

Can anyone complete an ESG submission?

Yes. You must be registered on Digbee with an organisation account for a mining company, or have been invited to join a mining company’s ESG submission to participate in completing an ESG submission.

How long should a submission take my team to complete?

For a typical company with two projects, submission should take a matter of days (not weeks or months).

Who will see the information I submit – does it all have to become public, or can I keep some of it confidential?

Our assessors (bound by a confidentiality agreement) are required to see all the information you submit in order to make an appropriate assessment. Your responses to the submission’s questions, your uploaded evidence and any supporting narrative you have provided will be held securely by Digbee. None of the evidence and narrative provided will be published.

How / where do I access my ESG submissions?

How do I start a new ESG submission?

- Log in to digbee.com

- Click on 'Your ESG dashboard' to access your ESG submissions
- Click on the ‘Start a new submission’ button on your ESG submissions page

Your Digbee account must be affiliated with a mining company in order to start an ESG submission for that company. You must also have the right permissions to start an ESG submission (be registered as a Corporate Admin or be granted ‘ESG admin’ permission on an ESG submission).

Who can access my ESG submission?

People who are part of your mining company account on Digbee and have the ‘Admin’ role can access all ESG submissions for your company by default. To view a list of your company’s team members who are registered on Digbee visit www.digbee.com/my-team.
‘Editors’ cannot access ESG submissions for your company unless they are invited to join the ESG team on an ESG submission.
You can invite anyone to access your ESG submission via the ‘Your ESG Team’ page within the ESG Submission, however they will need to first register on Digbee using the email address you have invited.

Can I make use of ESG consultants to guide me during this process?

Yes. ESG consultants can assist you with a Digbee ESG submission. Please feel free to invite your consultant to be part of the submission team by inviting them via the”Your ESG submission team” page.

Do I have to complete my ESG submission in one sitting/session?

No. Submissions do not need to be completed in one sitting. You can save and come back as often as needed in order to complete.

Can multiple people contribute to an ESG submission at the same time?

Digbee has a locking mechanism that prevents multiple users from editing the submission at the same time. This is to avoid potential conflicts and overwrites. It is up to you to manage who will edit and review your ESG submission and when.

Does Digbee provide version control for ESG submissions?

No. We do not store previous versions of the same ESG submission. If a colleague makes edits to an ESG submission that you want to reverse this is not possible.

Which projects should I include in my submission?

All material projects. Our guidance for materiality and the need to disclose is: “If the company is the operator AND intends to materially disturb ground or community within the next 12 months, then it should form part of the submission”.
If you decide not to include specific projects within your submission but they have some relevance to an assessment please add a comment in the 'Accompanying Narrative' field within the Review and Submit section. This is available when you conclude your submission.

Why do I have to include all my company’s projects on my ESG submission?

Your organisation's ESG performance is not limited to the the company itself, but how ESG is handled at each project site too. We therefore require you to submit a questionnaire for every project that is deemed material to the ESG submission.

Our guidance for materiality and the need to disclose is: “If the company is the operator AND intends to materially disturb ground or community within the next 12 months, then it should form part of the submission”.

What questionnaire/framework is applicable to me?

The Digbee ESG questionnaires applicable to your company are determined by the most advanced study/status for the projects included in your ESG submission. There are 6 stages to choose from for your projects, covering 3 categories as follows:

Pre-resource statement (Exploration stage)
Resource statement (Exploration stage)
PEA/Scoping study (Exploration stage)
Pre-feasibility Study (Development stage)
Full/Bankable/Definitive feasibility Study (Development stage)
Production stage

To ensure that the correct questionnaires are selected, you must add the project(s) that will be disclosed and select the stage on the ‘Your Projects’ step in the Digbee ESG portal.

When should I select an Exploration stage questionnaire/framework?

An Exploration stage questionnaire is typically selected for a company whose lead project has yet to publish a Pre-Feasibility Study. If a company meets this criteria but is proceeding straight to a full Feasibility Study (or BFS/DFS) then it is advised to talk with Digbee to consider the most appropriate framework. If a company is disclosing on a project that is a brownfield site and is responsible for significant infrastructure at the mine site then it is advised to talk with Digbee to consider the most appropriate framework.

When should I select a Development stage questionnaire/framework?

A Development stage questionnaire is typically selected for a company whose lead project has published a Pre-Feasibility Study.

I need to change the stage (‘Most advanced study’) assigned to a project in my submission but a warning message tells me data already entered is at risk.

Changing a project’s stage in your submission, adding a new project at a different stage later on or removing a project from your submission may result in a different corporate or project questionnaire being provided to you - thus potentially having to re-start the questionnaire process.

If you are concerned about losing data please contact us before proceeding with any updates as we will be able to provide you with an export of your currently entered data.

I need to remove a project from my submission but a warning message tells me data already entered is at risk.

How often and when should a mining company make a submission?

Mining companies are expected to complete a Digbee ESG submission annually, although multiple submissions can be performed. The submission can be carried out at any time during the year.

Why can’t I access Section 2 ‘ESG Questions’ and Section 3 ‘Review & Submit’ in my ESG submission?

Section 2 ‘ESG Questions’ and Section 3 ‘Review & Submit’ unlock when all your current projects and what stage they are at, have been specified on the ‘Your projects’ page (in Section 1: Step 3).

Digbee ESG asks you questions about your company and projects based on the size and stage of your mining projects. It is therefore important that you add all material projects and their correct stage on the ‘Your projects’ page before proceeding with your submission.

Why can’t I edit the ESG submission?

You have been granted ‘view only’ permission to the submission.
You have been granted ‘can edit’ permission which means you can only edit the ESG question responses.
The ‘Your projects’ page has been locked to edits because the invoice has already been requested (the number of projects included in a submission dictates the cost of the submission).
The submission may have been approved by the appointed Approver which means it is locked to edits and is now being scored.

I don’t understand the ESG Question. What should I do?

The ‘Question guidance’ tab provides rationale as to why the question is being asked. For increased context, every question also has links to Related Standards to indicate which recognised Global Standards the question maps to. If you require further assistance, please get in touch with us via support@digbee.com outlining the question number (e.g. P-05.01) and we will respond as soon as possible.

I can’t answer some of the ESG questions - can I still submit?

Yes. Provide as much information, narrative and supporting evidence as possible for each response. Put N/A where necessary and explain why.

What if the question is not applicable to my company or project?

If the question is not relevant, please use the narrative box to explain. This may help the assessors in understanding your operational context, constraints or alternative approach. Add supporting documents if you believe this will add additional support.

Do I need to upload and attach supporting evidence?

Supporting evidence is optional but encouraged to provide assessors with more context. Please reference specific page numbers and/or paragraphs of the uploaded evidence within the supporting narrative.

How do I upload documents to support my responses to questions?

You have the opportunity to upload files to every question response in the ‘Upload supporting evidence’ section. Drag and drop your files, or browse to upload. If the files you are uploading are large documents, please use the supporting narrative to indicate what pages/sections are specifically relevant to the question being asked. Please note we limit the file size for each upload to a max of 25Mb.

Do we need to provide evidence for everything we state in our answers?

No, but it is really useful to include supporting narratives and any reports or studies you have completed for our assessors to get a complete picture of your operations and ESG activities. Please make specific reference to relevant report pages/paragraphs within the narrative.

Must I upload full documents or screenshots of specific parts of documents?

Either will be acceptable. If you are uploading full documents, please indicate in the supporting narrative which page/paragraph within the uploaded evidence the assessors should refer to.

My uploaded document applies to more than one question, do I need to upload it for each question?

No. If you have uploaded a document in answer to an earlier question that you wish to refer to again in another answer, simply refer to it within the narrative and make reference to the relevant page numbers.

If a project / asset is spread out over a large area, how would you like us to tell you about the location?

Add a map. Please provide us with a document that includes a map with the area or your asset clearly marked on it. This can be as simple as a screenshot.

If several assets are in a similar area, can they be considered as a single asset?

Yes. Where a number of projects/assets are in close proximity and can be considered as an "Area of Interest" then submit a single project submission. Please ensure you provide a map to give context.

Why do you ask about planning for Tailings Facilities in the Exploration stage?

We are scoring the threats and opportunities for the asset both now and for the long term, not just the current performance. Therefore, if there is the potential need for a Tailings Facility in the future, it needs to be reflected as a threat, even from very early stages. Proactive companies begin to research if they can mine without the need for tailings very early in the resource definition process.

Why do you ask for starting dates for baseline monitoring?

Baseline monitoring data is typically needed for the future rather than present in exploration and mining projects, but companies are increasingly finding that having it speeds up permit applications. Delays in permitting/understanding what is required for permitting can often be derived from monitoring not being started as early as possible.

If we are planning to undertake a new initiative or something that will improve our sustainability, but haven’t yet done it, do you want to know about it?

Yes! Just showing us that you are thinking and planning for the future is great. Please do tell us about your plans and we can give you credit for them.

I have actions that have not been directly covered or captured fully by the ESG questions, where can I include this?

In the Review and Submit section of your submission, there is an optional additional narrative field where you can detail anything that you think was not previously covered.

I want to add more projects to my ESG submission but the ‘Your projects’ page is locked to edits.

You cannot add more projects to an ESG submission after an invoice has been generated for the submission. This is because the cost of the submission is determined by the number of projects in your ESG submission. Contact us and we will assist you in moving forwards: https://digbee.com/contact

At what point does my submission become locked to edits?

You can no longer edit a submission when your Board appointed Approver has approved the submission. This is because the submission is being scored.

Why does a Board appointed person have to submit the final submission?

ESG and Corporate Governance responsibility starts at the top of a company. Effective ESG aligns with corporate strategy and is part of the company decision making process.

Is a submission a once-off or an annual disclosure?

It is assumed that the submission process will be annual. If material changes occur within 12 months, the company can reach out to us to discuss an interim submission.

Scoring Questions

Who can view Digbee ESG scores?

Currently, any visitors to the Digbee website can view Digbee ESG scores. In the navigation go to 'ESG disclosures' to see which companies have recently disclosed. Click on the company row to access the corporate profile where scores are available.

Do I get to see my submission’s score before it is published?

Yes. The ESG Report, sent following the assessment and subject to change following a debrief call with you, has all the scores and feedback. You can opt to defer the publication of your inaugural ESG submission’s score for up to 12 months to give you the opportunity to complete another ESG submission and demonstrate the progress your company has made in ESG activities.

How does the scoring work?

The assessment team consists of a project lead, two independent scorers (experienced in mining, ESG, your commodities, and your locality) and an independent adjudicator. The assessors work to a robust, standardised and documented process. They use a scale of -5 to +5 to rate how your company is managing each question theme. For some questions they will assign a single score, for others there will be a range, all of which will be shared with you in your final report.

How long does an assessment take?

We commit to a four week turnaround unless we have indicated otherwise at the time of the submission.

What gets published once my ESG Submission has been scored?

For your inaugural submission you can choose your level of score transparency from two options:

Option 1 (Default): Scores hidden for 12 months. Your corporate profile on Digbee will indicate that you have successfully completed an independent assessment, without showing any actual scores. We will state the date on which the inaugural submission’s scores will become public.

Option 2: Full publication. Your corporate profile on Digbee will show the submission’s overall score, corporate questionnaire and project questionnaire(s) scores, overarching pros and cons for the submission and all the company and project positives and negatives outlined in your ESG Report. In the future we will publish the scores awarded per question but without your actual responses, evidence or supporting narrative.

For your second and subsequent submissions, once you have received your ESG Report and we have completed the debrief call with you, your submission scores will be ‘fully’ published (Option 2) on your Digbee corporate profile.

As a mining company, we are supportive of starting this ESG journey but concerned our inaugural score may not fully reflect the positive work we are doing.

Digbee’s mission is to encourage the communication and evaluation of positive initiatives in the mining sector. ESG is a journey, as such the direction of travel is significantly more relevant than a single score. Digbee gives all companies the option to "hide" their inaugural score for up to 12 months while still providing the full report to the company to be used with its 3rd parties.

What is the cost?

Becoming a member and accessing Digbee's mining projects database is free.
Digbee ESG™ submissions scores are freely available to view for all registered users.
Mining companies pay on submission of their Digbee ESG disclosure. The cost is based on the status of a Corporate (whether its leading project is at Exploration, Development or Producing stage) and the number of projects within the submission. Find out more at Digbee ESG pricing.

When do I have to pay for my ESG submission?

At the time of submission of a completed ESG questionnaire. Payment must be made before Digbee releases the ESG Report. You request an invoice through the portal in the ‘Review & Submit’ section.

Misc. Questions

How does Digbee ESG relate to Global Standards?

The Digbee ESG framework is designed to be aligned to core Global Standards, covering both generic and mining specific frameworks. Digbee and its partners analysed key themes, overlaps and intentions of over 25 standards to create a comprehensive, mining sector-specific set of frameworks.

Digbee ESG is not a new standard. Neither is it a replacement for other standards. Each question in the Digbee frameworks references any global sustainability standards (“Related Standards”) to which that question is related. Some questions will align to more than one standard and in some cases to none.

Digbee undertakes regular reviews of all the related Global Standards to ensure its own frameworks are current and relate to best practices.

How does Digbee ESG align with ISSB Global Sustainability Disclosure Reporting Standards?

Digbee ESG is being updated with reference to the ISSB, but the questionnaires already correlate to those aspects of the TCFD and SASB which ISSB will be replacing.

How does Digbee ESG help us if we don’t have any ESG experience?

Digbee ESG provides a standardised framework of questions that enables you to have an integrated view of ESG for your business, promote positive achievements and help create a roadmap of remediation. Digbee is recognised by an increasing number of fund managers and other stakeholders. By answering a few simple questions at the start of the submission journey, the Digbee ESG questionnaire is tailored to your company and material assets so that you are asked questions relevant to your company and mining projects. Our online tool is designed with mining companies, their investors and stakeholders in mind. Each question is supported by question guidance and indicates the relevant related standards so that it is clear why the question is being asked. You can, and in some cases are required, to upload documents to support the answers you provide.

Does Digbee offer consulting services to help us implement our ESG programmes?

No. Digbee maintains neutrality, objectivity and transparency. We are currently growing a global and independent ESG expert network, and we will be able to refer you to specific consultants that could help you with your Digbee submission or implementing ESG programs and actions.
